Administrative Assistant

The Administrative Assistant shall provide on-site/off-site technical and administrative direction for personnel. Coordinate CT1 meetings, including scheduling, funding and contract support, reserving meeting sites, coordinating necessary audio-visual equipment and meeting supplies (consumables), reserving hotel/venues, and developing logistics/administrative documentation of meeting details to be distributed to meeting attendees.
Examples of support provided, includes, but is not limited to, the following:
- Assist in planning and facilitation of all knowledge management events.
- Provide teleconference support (e.g. AMP, KSN Monthly)
- Provide/coordinate ten (10) bridge lines capable of handling 100 participants and maintain bridge line schedule for CT1 teleconferences. Send out teleconference meeting notices and read-ahead documents as required. Bridge line must be compatible with government IT systems.
- Maintain appropriate calendars on CT1 CAMPUS with appropriate Knowledge Sharing events and teleconferences.
- Meeting Support: Coordinate CT1 meetings (Up to 50 meetings/venues), including scheduling, funding and contract support, reserving meeting sites, coordinating necessary audio-visual equipment and meeting supplies (consumables), reserving hotel/Bachelor Officers Quarters (BOQ) accommodations, coordinating parking requirements, and developing logistics/administrative documentation of meeting details to be distributed to meeting attendees.
- Assemble and Maintain Facility Kits for all the CT1 Meetings.
- Ensure Laptops are available for all KM Staff support in Bremerton, Norfolk and San Diego to be checked to support all KM events.
- Coordinate/obtain a keynote speaker for the CT1 Winter Meeting as provided by CT1 PD or KMSO.
- Develop and maintain a CT1 Venue/Facility Document that captures the following for all venues/facilities considered for use in support of CT1 events:
- Travel required for Winter Community Meeting per year.
Requirements:
- US Citizen with SECRET Security Clearance
- 5 Years’ professional experience in technical and management experience.
- Associate’s Degree in Business Management disciple or technical management required. Bachelor’s Degree in any discipline preferred.
- Good written and verbal communication skills as well as organizational skills required. Must be detail oriented with the ability to manage multiple tasks.
- Must be professional and courteous with good interpersonal skills.
